This commitment is demonstrated in our Privacy Policy, which outlines how we do this, in accordance with the Information Privacy Act 2009 (QLD) and any other applicable privacy legislation (‘Privacy Laws’).
We also have Terms and Conditions that apply when using our website (“website”) and purchasing on our website. Please read these terms and conditions prior to purchasing any services or products from us or using our website, or when you are directed to do so during the sales process.

Personalised Plates Queensland Privacy Policy
Publicis Red Lion Pty Ltd (PRL) is contracted by the Queensland Department of Transport and Main Roads (TMR) for the conduct of the business trading as Personalised Plates Queensland (“PPQ”, also referred to herein as “us”, “we”, “our”). As a contracted service provider, PRL are responsible for sales, marketing, customer service and business management of personalised number plates in the state of Queensland. We collect, hold, use and disclose your personal information in a number of different ways and are committed to ensuring that your personal information is protected in accordance with the Privacy Laws. This Privacy Policy applies regardless of whether you use our phone or online services via your mobile phone, smart device, computer or any other equipment suitable to access personalised number plate products.
1.0 Collection of Personal Information
We collect your personal information and your interactions with us so that we can provide you with our services and any products that you may have requested. In addition, this information assists us in executing internal functions related to customer service and marketing activities.
1.1 Kinds of Personal Information we collect
The kinds of personal information we collect about you may include:
your name;
other information that you provide to us including date of birth, title or gender;
login details;
contact details including phone number, email address or postal address;
user generated content;
information about your purchase; and
credit card details.
We also collect information about your use of our website including:
Your computer’s IP address or the Unique Device Identifier (if you access our website using a smart phone or other mobile device);
The date and time of your visit to our website;
Pages on our website that you accessed and actions you take such as clicks on links or buttons;
The URL of the previous site you have visited and the site you visit after leaving;
If you’ve visited our site before;
The services or products you have viewed or purchased; and
The type of browser you are using.
Such information may, depending on the circumstances, constitute personal information.
1.2 How do we collect Personal Information?
We will collect this information in person, through our website, via telephone or when you correspond with us using live chat, email or direct mail. The Privacy Laws protect your sensitive information. We do not collect sensitive information.
The main circumstances in which PPQ collects personal information about you are:
a) When you provide it to us
If you purchase from our website, a PPQ Member Account is automatically created for you. This account is populated by the information you provide as part of your purchase process. You may also give us information when you make a purchase from us via the PPQ Call Centre or interact with forms during the checkout process, sign up to receive PPQ PL8M8 newsletters or enter PPQ competitions, submit your details to utilise services (such as the 'LiveChat' facility), contribute user generated content, participate in research or surveys or other PPQ activities, make a request or enquiry. For information about our collection and retention of payment information see below.
b) When someone else provides it to us on your behalf
Sometimes someone else such as a parent, carer or friend might provide us with information about you so that we can provide you with a PPQ product such as a layby or PPQ gift voucher. For example, someone else may provide us with information about you when creating a PPQ plate layby.
Other times we may collect personal information about you from publicly available sources, including social media sites, or when you sign up to become a PPQ PL8M8 via another account.
Payment information
PPQ uses Commonwealth Bank BPoint payment gateway to complete PPQ transactions. Your personal information (including credit card information) will be collected and used by BPoint. For more information, you can read the BPoint Privacy Policy here.
c) When we collect it in relation to your use of digital services
We also collect information about your use of the PPQ website through the use of technologies like cookies, beacons and local storage. More information on this is set out in our Cookie Statement below.
If you are a registered PPQ Member Account Holder or a PL8M8 Marketing Database Member, we may link the information collected about you to your Member Account, and your PL8M8 database subscription.
If you are not a registered PPQ Member Account Holder, and you do not have a PL8M8 Database subscription, then we will track this information by reference to digital information such as an IP address, or an identifier for your device or browser, and will not seek to identify you.
2. Cookie Statement
2.1 Use of Cookies, Beacons, local storage, and Other Technologies
When you use or view our website, PL8M8 email newsletters, electronic communications or advertisements, we (or agencies, hosting providers or partners on our behalf) may monitor and make a record of your use. PPQ's website uses “cookies” “beacons” and “local storage” for statistical purposes and to enhance our ability to provide customised online experiences.
These technologies may be used to improve your user experience. They may also be used to show you promotions for PPQ products and other PPQ content on third party digital services, such as Google and Meta.
These technologies are used to gather information (such as an IP address, or an identifier for your device or browser) to determine the popularity of content, remember user preferences and settings, deliver and measure the effectiveness of advertising campaigns, analyse site traffic and trends and generally understand the online behaviours and interests of people who interact with our business.
What Are Cookies, Beacons and local storage?
“Cookies” and “local storage” are technologies that allow websites, applications and emails to gather this information and store it on your computer or device.
This information is used to identify your browser or device so that websites and applications can follow your user activity over time and remember things such as your personalised settings and preferences.
In other words, a cookie is a message given to a web browser by a web server. This message is then sent back to the server each time the browser requests a page from the server. There are different types of cookies. Cookies served by the entity that operates the domain you are visiting are called “first party cookies.” For example, cookies served by PPQ while you are on the ppq.com.au domain are first party cookies. Cookies served by companies that are not operating the domain you are visiting are called “third party cookies.” Third party cookies may also be used by PPQ, and other companies that provide tracking and analytical services to PPQ like Google, The Trade Desk (TTD) and Meta, but these are in the process of being phased out, which is due to occur in 2023/24. PPQ will continue to review and adapt its approach in response to changes in requirements and technologies in this area.
A “beacon” is a signal sent from your computer or device to a server on the Internet. Websites, applications and emails use software that reads cookies, local storage and other information stored on your computer or device and sends beacons to record that information. This may include information about your user activity, including behavioural data such as your viewing history and location data such as your IP address, as well as information about your personalised settings and preferences.
PPQ currently allows a number of companies that provide digital, marketing and analytics services to it (including Google, TTD and Meta) to use third party cookies (subject to ongoing review until they are phased out), beacons, local storage and other technologies on our website to gather information about visitor activity in order to deliver our website, to provide a tailored user experience and to deliver advertising materials to you.
We also use Google Analytics and Microsoft Clarity, which are tracking and analytics platforms that generate detailed statistics about visitors to our website. These tools also capture data such as conversions, revenue and sales. These platforms provide us with aggregated data (not personal information of our website visitors).
Server to Server Integration
PPQ may collect information about our website visitors, leads, and customers by allocating Unique ID’s to website visitors, storing them as first party data, and then pushing them directly to different publishing platforms including Meta and Google via Server to Server Integration.
Server to Server Integration is a cookie-less tracking solution that allows PPQ to send hashed marketing signals via Unique Identifiers of our first-party data straight to publishers.
For clarity, we may establish the ability to pass on signals to publishers without relying on cookies, pixels, and browser-based tracking systems via exchanging hashed (one-way encrypted) PPQ Unique Identifiers through a direct server-to-server integration between PPQ and third party platforms such as Google, TTD and Meta.
The benefits of Server to Server Integration include:
Data control: PPQ can maintain greater control over the specific data we send to publishing platforms.
Privacy compliance: Allows PPQ to be privacy compliant through the creation of Unique Identifiers that are significantly more difficult to match back to Personal Information.
2.2 Your Choices for Cookies and Unique Identifiers
It is important to note that Cookies, Unique Identifiers and first party data are each an important part of how our website operates. You should be aware that if you choose to refuse or remove cookies or disable the sharing of PPQ Unique Identifiers and/or first party data collected about you, some functions and services may be disabled or degraded, such as the online payment facility, and we may not be able to personalise or customise content for you, which will affect your user experience. If you have configured your browser to reject all cookies, you will be restricted to non-transactional pages and services on the PPQ domain.
As noted above, PPQ uses beacons in combination with cookies to track activity. If you turn off a browser’s cookies, the beacon will still record your visit anonymously, however your unique information will not be recorded.
3.0 Use and Disclosure of Personal Information
3.1 How do we use this Information?
The personal information we collect about individuals is used and disclosed where it is necessary for us to carry on our business functions, to supply you with goods and/or services requested and provide quality customer service.
The cookies and tracking tools on our website allow our website to operate more efficiently. We use them to track your use of our website and to compile data that can help us improve the content and functioning of our website.
These uses generally fall into one of the following categories:
Site functionality: To enable interactive features such as online shopping. For instance, cookies allow our servers to keep track of your customer details between visits to our website. They can allow us to remember your place in a video so you can pick up where you left off or remember your preferences and settings.
Promotional targeting: Placing cookies on your device or browser, or sending a Unique ID also means we can serve you promotional information that you might be more interested in. The promotional information can appear on third party digital services as well as PPQ digital services. It also allows us to control the number of times you see that promotional information and measure how effective the campaign has been.
Audience analytics: The aggregate information gathered from these technologies helps us to improve our products and understand how people use the PPQ website.
Personalised content and services: Information about what website content is viewed allows us to customise our services with more relevant content like tailored trends or recommendations.
We may also use your personal information for the following purposes:
For the reasons we collected it;
To database, store and process your personal information to provide you with the goods and/or services you have requested;
Statistical purposes;
Promotional and marketing research purposes including to enhance our plate product range;
To manage our relationship with you including to inform you of products, special offers, promotions, competitions, activities, services and events that may be of interest to you;
Any other customer support purposes.
For purposes directly related to the purpose of collection as permitted by the Privacy Laws.
For any of the above purposes we may contact you by electronic or other means.
3.2 How do we disclose this information?
Your personal information may be disclosed:
where we have sought your consent or as is otherwise allowed or required by law;
to our related companies, contractors, suppliers or service providers for the purposes of providing products and services on our behalf and performing our administration and other operations, including accounting and finance checks, IT, marketing, record keeping, safety purposes or fulfilment services;
to technology service providers, including, internet service providers, cloud hosting service providers, software suppliers, and maintenance and support service providers and security services on a confidential basis so that they can provide services to us;
to delivery service providers;
to marketing and promotions service providers;
to analytics service providers;
to any entity to which we propose to assign any part of our business; or
to other organisations with whom we have contractual agreements.
As described above in the section 2.1 under “What Are Cookies, Beacons and local storage?”, we may also allow some of our marketing and promotions service providers (e.g. to Google, TTD and Meta for advertising purposes), as well as our analytics service providers, to collect information about your use of the PPQ website along with identifiers for your device or browser. We may separately disclose the information we collect about your use of the PPQ website to third parties, along with those same identifiers, so that they can provide services to us and so that we can help you find content likely to be of interest to you including by making recommendations to you. Some third parties may be able to match information about your use of our digital services with personal information they already have about you.
From January 2024, if you have purchased a PPQ product, and as a result, are a registered PPQ Member Account holder or have subscribed to the PPQ PL8M8 Marketing Database Member, we may combine information from your registration with the information we collect about your use of our digital services, and other information you provide to us. We may use this information and disclose it via a hashed Unique ID to Google, TTD and Meta (unless you have opted out via the Consent Management Centre), via a technology service provider called Tealium, to show you promotions for PPQ content likely to be of interest to you on those platforms. If you are not a registered PPQ Member Account holder, or you are accessing the PPQ website while not logged into your PPQ Member Account, we may disclose the identifier for your device or browser to Google, TTD and Meta, via Tealium for the same purpose.
3.3 Transfer of Information Outside of Australia
The third parties we disclose hashed information to, or allow to collect information about you, may be located in Australia or outside Australia, including but not limited to New Zealand, Singapore, the UK, the Netherlands, Ireland, Israel, India, Canada and the USA.
We require that our service providers have appropriate controls to protect your personal information and that they only use your personal information for authorised purposes. PPQ will not sell or receive payment for licensing or disclosing your personal information.
3.4 Direct Marketing
Our direct marketing consists of a range of communications including email, SMS, telephone and postal mail. You may be contacted via one or more of these communication channels for purposes of customer service, or to be notified of related products, promotions, newsletters, customer surveys and similar materials from time to time.
We will only send you advertising, marketing or promotional material or product information, in a manner that is consistent with your communication preferences.
3.5 Opting out of marketing communications
You can change your mind about your communication preferences in respect to direct marketing at any time by using the unsubscribe information on every such contact, by updating your preferences via PPQ’s Preference Centre or by contacting us on 136 356 or via info@ppq.com.au
3.6 Storage and Security of Personal Information
We take all reasonable steps to:
make sure that the personal information we collect, use or disclose is accurate, complete and up to date;
protect the information from misuse, loss or unauthorised access, modification or disclosure both physically and through computer security methods;
destroy or permanently de-identify the information if it is no longer needed for any purpose.
not transfer personal information outside of Australia otherwise than as permitted herein.
We work to protect the security of your information during transmission by using Secure Sockets Layer (SSL) software, which encrypts information you input. We maintain physical, electronic and procedural safeguards in connection with the collection, storage and disclosure of personally identifiable customer information. We mostly hold personal information electronically, but we also use voice call recordings within our call centre. We use third party service providers in Australia to store some personal information, these include our Customer Relationship Management System – Salesforce and DotDigital. All payments are processed using a secure PCI compliant payment gateway and we do not store credit card information.
Whilst perusing the PPQ website and enquiring, you have the option to remain anonymous or use a name other than your own (a “pseudonym”). However, you can’t be anonymous or use a pseudonym to purchase a plate, remake a plate or enquire about a previous plate order. Clear identity must be established.
4. Seeking access to, and updating information we hold about you
You have the right to request access to personal information that is held by PPQ about you. Requests for access will be dealt with by PPQ in accordance with the Freedom of Information Act 1982 (Cth) or Privacy Laws.
You also have the right to request the correction or deletion of any of your personal information that PPQ holds. PPQ will take reasonable steps to make appropriate corrections to your personal information so that it is accurate, complete and up-to-date.
To seek access to, or correction of, or to make a request for the deletion of your personal information please contact the PPQ Privacy Office, whose details are below. Deletion requests are subject to PPQ’s record-keeping obligations, including the Archives Act 1983 (Cth).
5. Making a complaint
PPQ welcomes feedback about privacy issues and will attend to all questions and complaints promptly. Please contact our Privacy Office using the details below if you would like to make a complaint. If PPQ takes more than 30 days to respond to your privacy complaint, or if you are dissatisfied with the outcome, you can make a complaint to the Queensland Office of the Information Commissioner (OIC). PPQ may include links to third party content on its website and in other electronic communications. PPQ does not have any control over the privacy practices of those third parties.
